Overview
We love all things Direct Mail at Herald Chase but we take particular satisfaction from the work we do with our clients from the Charity Sector. Having worked with Charitable organisations across a plethora of causes, we were well placed to help when we were approached to help a UK based charity providing support to rural African Communities. As with all new clients, it’s important for us to really understand the challenges they face when communicating with their target audience, as well as ascertaining and understanding exactly what their aspirations are and the objectives they hope to achieve. Having spoken in depth with the charity in question, it was clear that (as with most charities) reducing cost was a driving factor whilst maximising their return on investment. Although this was paramount, it was important not to lose sight of the message the charity wanted to convey and to ensure this message was delivered to the right people, at the right time whilst maintaining the Charity’s core values and brand perception. We were tasked with fulfilling all of their Donor Renewal & Acquisition campaigns; from Direct Mail & Fulfilment to telephone response handing and donation management.
Solution
Having understood the charity’s needs and taking time to understand the message they wanted to convey, we were able to design Direct Mail pieces that projected their brand identity whilst ensuring the call to action was clear and concise. Environmentally friendly stocks were researched and sourced, at cost effective prices, and databases were analysed and segmented to ensure the mail pieces were reaching the right audience. The data management element was crucial to us understanding the target audience, allowing us to help tailor the creative to be as bespoke as possible. Although the requirement was largely restricted to 2pp letters for the majority of the mailing’s, we were able to help the charity maximise their message to ensure they shared as much information about their cause with their donor’s and prospects as possible, without ‘drowning out’ the call to action. As well as working with the charity on the creative and design elements, for larger mailings we were able to better advise on postage discounts and other cost saving incentives they weren’t previously aware of. Our swift turnaround times meant the charity could be reactive to unforeseen and unexpected circumstances arising that needed increased fundraising efforts or awareness campaigns to be circulated to their database.
Outcome
By outsourcing their direct mail requirements, telephone response handling efforts and donation management process to Herald Chase, the charity were able to not only save significant amounts on their existing processes but also focus more of their time and efforts on raising awareness for the cause itself. Safe in the knowledge their data was being handled and stored with the utmost care, they also didn’t have to worry about the latest GDPR regulations beyond what is naturally expected of any organisation holding personal data. As such, Herald Chase now handle all fundraising and donor renewal & acquisition campaigns for this charity, as well as the previously mentioned response handling, and have since been referred to several other charities as a result of our successful relationship.
